AIRLINE
Overseas travelers need a passport to travel to Mexico. It is recommended to make a copy of your passport. If you have a “US Passport Card” it applies to land and sea travel only. Remember, the name on your passport, and the name on your ticket must match.

CUSTOMS
Please make sure to have your Passport, Immigration Card, and Customs Declaration handy to be cleared by Immigration. (Immigration Cards and Custom Declarations are usually provided onboard the aircraft. https://www.mexicotouristcard.com/.
Important: You MUST KEEP the lower portion that will be stamped by the Immigration Officer, and present it upon ARRIVING at the Banyan Tree Mayakoba Resort, and LEAVING when at Cancún International airport. One per person is required!
- After clearing Immigration: Collect your luggage. If you are missing luggage, report it to the airline personnel immediately, and make sure to complete a report before leaving the luggage claim area. Be sure to obtain the Airline’s LOCAL number. Global Incentive Management will follow up and track your luggage for delivery to the Banyan Tree Mayakoba Resort.
- Once you have your luggage: proceed to the Customs Area to declare any goods. Have your Customs Declaration Form filled out. You will press a button resembling a traffic signal. A GREEN light means that your bags pass without an inspection, a RED light means your bags will be randomly inspected. They are looking for meats, fruit, or merchandise intended to be sold. If inspected, they will take a quick peek, and away you go.
- After passing customs: Make a RIGHT and continue walking OUTSIDE of the airport building. Although there are many timeshare salespeople located in the corridor, walk to the glass doors and meet your transportation OUTSIDE near the curb where the transportation vehicles are parked.
A representative from Global Incentive Management will greet you OUTSIDE your arrival terminal with a Four J’s sign. Their uniforms are white shirts and black/khaki pants. They will transport you the forty-minute ride to the Banyan Tree Mayakoba Resort. (*tips are encouraged).
BANYAN TREE MAYAKOBA RESORT
Proceed to the lobby Four J’s Check-In. We will have your room keys and name badges. You must provide the hotel with a copy of your Immigration Form and Passport. Please have these ready upon arrival. Let us know if your departure dates will change.
HOSPITALITY DESK
Opens at 9:00 AM Monday, September 30th to greet Lab attendees. Lunch and coffee will be provided for those attending Labs.
(Every effort will be made to accommodate early arrivals. It is suggested to pack a change of clothing or swimsuit in your carry-on to enjoy the property while your room is being prepared).
PROGRAM
We will cover food, lodging and open bar expenses for the period of the program. Some incidentals may be charged to your credit card. You may extend your stay if you wish. See below for more details.
Except for those attending the Labs, the program starts with the Welcome Reception in the Hotel Lobby on Monday, September 30th at 7:00 PM, and ends on Thursday, October 3rd at approximately 12:30 PM. For those attending the Labs, the program starts at 9:00 AM Monday. The Thursday check-out deadline is 13:00.
EXTENDED STAY & PARTNERS
As mentioned, we have negotiated a special group room rate with the resort, which covers your room, three meals a day, and an open bar (‘meal plan‘) for single occupancy. This room rate and meal plan apply for the duration of the program.
If you wish to bring your partner, just advise us in advance when you select your preferences on the confirmation form. There will be a fee to cover your partner’s meal plan that will be charged to your credit card.
If you wish to extend your stay, the group room rate applies three days prior and three days post-event, but without the meal plan; you will consume at your convenience on or off-property at your own expense.
The table below summarizes the hotel fees in US dollars should you wish to extend your stay and/or invite your partner.
THE OPEN BAR & INCIDENTAL EXPENSES
The open bar runs from 9:00 PM – 11:00 PM Sunday and from 12:00 PM – 12:00 AM during the program weekdays. Drinks outside these times will be charged to your credit card.
Phone calls, laundry, shopping, in-room TV entertainment, room service, and items consumed from the minibar etc. will be charged to your credit card.

ATTIRE
Resort/Business Casual for program sessions. Beach or sportswear for the free-time activities. The weather will fluctuate during your stay. It can get chilly and windy at night.
