WW Technical Advisory Council 2016

Dear Partners,

We are delighted you are able to join us for this year’s Technical Advisory Council in the sumptuous setting of the CasaMagna Marriott Cancun Resort.

This annual event is special because it affords a select community of our world-wide partners the enjoyment and unique opportunity to network with peers and Four Js’ management in an idyllic environment. PASSPORT

Please remember to have your passport and/or proper documentation when checking in at the airport. Due to airline regulations, the name on your ticket and official identification must match, or you will not be permitted to board the flights.

There is no requirement for US citizens or anyone with a USA VISA to apply for a Mexican VISA. If you are in doubt, check here for VISA requirements here.

Any changes to your itinerary must be communicated to the Four Js team. If you miss a flight or are delayed, please be sure to reconfirm the remaining legs of your itinerary with the airline. Please also text, email, or notify the team of your changes.

Passports are required by everyone traveling by air in and out of Mexico. This includes US and Canadian citizens. All passports must be valid for at least six months after the date of entry. In case of an emergency, we recommend making two photocopies of your passport: one to leave at your office or home, and another to carry with you in a different bag than your original passport in the event of loss.

For citizens traveling from other countries outside the US, please check with your local consulate or embassy.

TRANSPORTATION

Upon arrival in Cancun, a Four Js representative will be there to greet you immediately upon exiting the terminal.  After retrieving your luggage, pass through customs, and head outside the terminal. The driver will be dressed in a white polo, and holding a clipboard with your name on it.

Transportation from the airport to the resort will be provided on the group arrival day of Tuesday, September 27 and departure day, September 30th. The transfer time from the airport to the resort is approximately 20 minutes. Click here for directions.

Gratuities for luggage porters and drivers are your own responsibility and are not covered by FourJs.

For those of you traveling outside of the program dates, the CasaMagna can make transportation arrangements for you at the concierge. Costs for the transportation outside of the program dates will be your own responsibility.

As a general rule, you are allowed to bring into Mexico whatever you need for your stay. You are not allowed to bring food, fruits, and/or products that are not professionally packed and sealed. The same rule applies to medicine. If you are bringing an unusual quantity of medicine, please bring a doctor’s prescription.

LUGGAGE ALLOWANCE AND IDENTIFICATION

Any fees associated with luggage will be your personal responsibility. In order to ensure extra care and safety in the handling of your luggage, affix a luggage tag to your suitcases. Should you discover missing or damaged luggage upon your arrival in Mexico, DO NOT LEAVE THE AIRPORT. Contact an airline representative in baggage claim BEFORE leaving baggage and customs. They will file a report. If you fail to do so, they will not assist you. Please inform your driver and advise the Four Js team before leaving the airport. They will assist you in following up with the airline, as well as facilitating the delivery of your luggage to the resort when it arrives.

All participants are responsible for securing their own luggage. Four Js is not responsible for lost, damaged, or stolen articles.

AIRLINE RESERVATIONS

Please arrange your own airline reservations and email the details including: DATE, AIRLINE, FLIGHT#, ESTIMATED TIME OF ARRIVAL/DEPARTURE to:

in order to optimize airport pick-ups. You MUST email us or you will NOT be picked up. Four J’s will provide complimentary transportation to and from the airport on program days only.

CURRENCY

The local currency is the Mexican Peso (MXN). Spot conversion rates here.

It is recommended that you carry some local currency and exchange at your personal bank for best rates.

As our guest, you may exchange up to US $1,500 dollars into Pesos at the front desk, provided you present your passport.

CLIMATE

The average temperature in September for Cancun is 28°C/82°F, created by average highs of 33°C/91°F in the hottest part of the day and average lows of 25°C/82°F in the mildest part of the night.

Cancun is located in time zone UTC -5, which is the equivalent of the US Central Time Zone.

ATTIRE

General attire is Business Casual. Some evenings can be cool.

For the Thursday night off-site dinner, please refrain from wearing beach attire such as shorts, etc.

GUESTS

You may wish to bring a partner or guest. In this case, there is a an additional charge of $159 USD per day per person (total cost $477 USD for the 3 nights for 1 additional guest). This charge is an all-inclusive rate that includes: all meals, room, and taxes. This charge will be made to your credit card upon check-in. Four Js will be responsible for the room and participant only.

If you wish to bring children, the discounts are as follows:

  • 5 years and under: Free from children’s menu
  • 6 to 12: 50% of all inclusive meal all add on price
  • 13 to 17: 5% of all inclusive meal add on price

This program is for you. Should you wish to bring a guest, they will only be invited to the Welcome reception on Tuesday evening. Children are not invited to participate in Four Js activities or functions. We will not provide any special services or day care for children, and expenses incurred for bringing children are at your own expense.

Kids Club:

“Marriott Kids” is a program especially for kids ages 4 to 12. It offers: professional supervision, daily activities in the pool and on the beach, such as sand-castle building, kid’s aerobics, contests, arts and crafts. The activities room has table games, library, and television in English and Spanish.

*Book in advance at Concierge* -Not included in the all-inclusive program-

Baby Sitter:

Should you require a baby sitter during your stay, please contact our Concierge Desk. If you do not have a preference, we will make arrangements with the first baby sitter available.

Rates:

Minimum of three (3) hours charged at:

  • 12 US Dollars per hour for one child
  • 14 US Dollars per hour for two children
  • 16 US Dollars per hour for three children

EXTENSIONS

If you are interested in pre or post extending your stay, you will want to act quickly as rooms will fill quickly. Four J’s has arranged a three-day pre and post-extension for delegates based on availability.

Extensions will be at your own expense and the hotel will require your credit card information upon time of reservation.

No vaccines are required to enter Mexico.

Travelers taking specific medications should bring an adequate supply for their entire stay and a prescription with them.

INTERNET ACCESS

Limited complimentary WiFi access is available throughout the resort.

ELECTRICITY

Mexican electricty sockets are three pin 110v and are compatible with US plugs.

TELEPHONE CALLS

Mexican mobile cell phone rates can be extremely expensive if your service provider does not have a reciprocal arrangement with Mexican operators. We suggest you check beforehand. Also think about using a calling card when calling from your room. Finally, you may want to connect via Skype over the hotel WiFi. The hotel phone system will charge a connection fee for each call whether or not a connection is made to your party.

PERSONAL EXPENSES

Four Js will pay for all program related fees. These include the room, all meals, the mini bar*, program related open bars and taxes.

The hotel will maintain a separate account for your personal incidentals that are not included in the program. Such expenses include room service, honor bar, laundry, telephone calls, business center fees, activities, spa, valet services, movies, and purchases made to your room. Your personal account must be cleared before your departure from the hotel. A credit card imprint will be taken upon check-in and these expenses will be charged to this account. The hotel accepts payment by all major credit cards and of course cash.

* Mini bar includes: 2 sodas, 2 national beers, 2 domestic bottles of water 335ml and 2 dry snacks per room per day.

GRATUITIES

Gratuities have been pre-paid by Four Js for all sponsored functions. This includes tips to bell staff and housekeeping.

HOSPITALITY DESK

The Four J’s Hospitality Desk is open daily beginning Tuesday, September 27 at 10:00 AM. Here you will receive your welcome packet, name badge(s), and agenda. Please refer to the daily schedule of events on day of arrival for specific hours of operation. This desk will be staffed daily by Four Js who will be available to assist you throughout your stay.

The hospitality desk will provide:

  • General information regarding the schedule of events
  • Posting of program times and locations
  • Conveyance of important messages
  • General information regarding CasaMagna and the surrounding area
  • Restaurant recommendations and reservation assistance should you wish to extend.


Please note that children are not allowed to participate in any of the Four J’s functions.  We ask that you wear your name badge to all group functions so that you can be readily identified as a Four J’s attendee.

If you arrive prior to Tuesday, September 27, be sure to stop by the Four J’s Hospitality Desk on Tuesday, to receive your welcome packet and name badge(s).

Please stop by the CasaMagna front desk to settle your incidental account prior to departing from the hotel, even if you have not incurred any hotel charges. If you need a late checkout, we will do our best to obtain one for you. Otherwise, your luggage will be securely stored with the bell staff until your departure. Please make sure your luggage is identified with your luggage tags.  Transportation will depart from the hotel lobby area.
